Ambassador Programme Terms & Conditions
Last updated: 6 November 2026
These Terms and Conditions apply to the Smile White Ambassador Programme (the “Programme”). They are an agreement between you and Smile White Holdings Ltd, company number 12014837, registered office Westfield House, Lower Wortley Road, Leeds, LS12 4PX, trading as Smile White (“Smile White”, “we”, “us”).
We will show you these Terms before you join. By ticking “I agree” (or the platform equivalent) and joining or continuing in the Programme, you agree to be bound by these Terms. If you do not agree, do not join.
These Terms govern your participation as an ambassador. A customer’s purchase, treatment and clinical care are governed by Smile White’s customer terms, the relevant treatment terms and the Privacy Policy, not by these Terms.
1. About the Programme
The Smile White Ambassador Programme allows approved ambassadors to refer new customers to Smile White using a unique referral code or referral link.
Ambassadors may receive a reward for eligible customers they refer, subject to the requirements set out in these Terms and Conditions.
Smile White reserves the right to approve or decline applications to the Programme at its discretion. We will not refuse an application for a reason that would be unlawful under the Equality Act 2010.
The Programme includes any arrangement we brand as “Smile Society” (or a similar name we confirm to you in writing) and any other ambassador arrangement we confirm with you in writing. “Smile Society” is part of the Programme: the same rules apply unless we agree a different reward or benefit with you in writing. A different reward or benefit applies only where section 5 says it does.
2. Eligibility
To participate in the Programme, you must:
- Be aged 18 or over.
- Provide accurate and up-to-date information when applying.
- Comply with these Terms and Conditions and any additional Programme guidance provided by Smile White.
- Not be an employee, contractor or other individual who is directly involved in administering the Programme, unless expressly approved by Smile White.
- When you promote Smile White to people in the UK, follow these Terms and UK advertising and consumer law.
If you are registered with the General Dental Council, including as a dentist, dental hygienist, dental therapist or dental nurse, you cannot earn the £100 reward, or any other referral reward, under these Terms for a patient or other customer you refer. These Terms cannot be varied to pay you that reward. You must follow General Dental Council standards.
These Terms do not apply to a referral made under a separate written agreement between a dental practice, or a dentist, and Smile White Holdings Ltd or another company in its group. No reward is payable under these Terms for that referral. If that agreement and these Terms both appear to apply to it, that agreement prevails.
3. Referral Codes and Links
Ambassadors will receive a unique referral code and/or referral link.
Your referral code or link is personal to you and must only be used for genuine referrals. You may refer anyone where the referral is genuine.
You must not:
- Share, sell, transfer or give your referral code or link to another ambassador.
- Use another ambassador's referral code or link as your own.
- Create multiple accounts or identities to generate additional rewards.
- Use your code to make purchases for yourself where the purpose is to generate rewards.
- Encourage or assist customers to place multiple orders for the purpose of generating additional rewards.
- Use misleading, deceptive or inaccurate information when promoting Smile White.
- Transfer your place on the Programme to anyone else.
4. Ambassador Discount
Ambassadors may be provided with a discount code or offer for customers they refer.
The current customer offer will be communicated to ambassadors by Smile White and may be changed from time to time. You must promote only the current offer we have given you. You must not make up a discount, price, saving or finance offer, or state an old offer as if it were still available.
Unless expressly stated otherwise:
- Discounts cannot be exchanged for cash.
- Discounts cannot be combined with other promotional offers.
- Smile White reserves the right to exclude certain products, treatments, services or promotions from the ambassador offer.
- A material change to the customer offer, or a withdrawal of it, follows section 15. We may change or withdraw it on shorter notice where the law, a regulator, or a security reason requires that.
A change does not take an offer away from a customer who has already used it on the terms that applied at the time, unless we have to withdraw it for a legal or regulatory reason.
The ambassador platform also offers bonus points, gift cards or similar extras, those are not commission. They have no cash value unless we say so in writing. We may change or withdraw them on the notice rules in section 15.
5. Rewards
5.1 What you can earn
Ambassadors may receive a reward for each Qualifying Referral (see 5.3) made through their unique referral link.
The current reward is £100 per Qualifying Referral, unless a different reward is expressly agreed with you in writing by Smile White. A different rate, or any other benefit such as a treatment package, applies only if we agreed it with you in writing before the referral is made, and only to the referrals that agreement covers. We will not reduce the rate for a referral after you have made it if that referral later meets the eligibility requirements that applied when you made it.
5.2 Who cannot earn
A person registered with the General Dental Council cannot receive this reward, or any other referral reward, under these Terms. Section 2 applies, and it cannot be signed away.
5.3 When a referral qualifies
A referral is a "Qualifying Referral" only when the customer completes all of these steps, in this order:
(a) they reach Smile White through your unique referral link;
(b) they use it to book an online consultation with Smile White;
(c) they go ahead with Smile White clear aligner treatment and complete the steps needed to start it; and
(d) they have their first set of Smile White clear aligners fitted.
We will check these steps against Smile White's order and treatment records, which decide whether each step has happened. If you disagree with that check, use the complaints process in section 23.
5.4 What does not qualify
A click, visit, enquiry, consultation booking or order on its own does not earn a reward. No reward is earned if the customer stops at any point before step (d), for example if they:
- book a consultation but do not go ahead with treatment;
- pay for treatment but cancel before their aligners are fitted; or
- miss their fitting appointment and do not rebook and attend it.
5.5 Holding period
Each reward stays pending for 30 days after the customer's aligners are fitted (the "Holding Period"). During the Holding Period we check the referral, including for fraud and duplicate referrals. The reward is cancelled if, during the Holding Period:
- the customer cancels or receives a full refund;
- the treatment is remade or replaced in a way that means Smile White's records no longer treat the original purchase as a completed qualifying sale; or
- we reasonably find that the referral breaks these Terms.
A routine clinical remake that does not cancel or refund the qualifying sale does not, by itself, cancel a reward.
We aim to release each reward within 14 days after the Holding Period ends. If we cancel a reward, we will tell you why.
5.6 How rewards are paid
Rewards are paid only as a digital gift card or a digital prepaid Mastercard, to the full value of the reward. Rewards are not paid in cash, by bank transfer or as physical cards, and cannot be exchanged for cash by us.
5.7 Examples
A customer uses your code or link, books a consultation, goes ahead with treatment and has their first aligners fitted. This qualifies.
A customer uses your link, books a consultation, purchases, then cancels before fitting. This does not qualify.
A customer qualifies, then gets a full refund 10 days after fitting. The reward is cancelled, and if it has already been paid, section 7 applies.
A customer qualifies and later needs a routine remake of a tray, with no refund. The reward stands.
6. Reward Tracking
Rewards become payable only if the eligibility requirements in section 5 are met and the designated referral and ambassador platform attributes the referral to your unique referral link.
The platform record is the primary record we use. If it does not attribute the referral to you, we will not treat rewards as payable unless we can reasonably confirm the referral was yours and that section 5 is met. That includes where the customer does not use your link, uses it incorrectly or too late, or uses someone else’s link.
If a referral is missing because of a technical, tracking, cookie, device or platform issue, tell us as soon as you reasonably can through the ambassador platform or the contact details in section 23, and no later than 60 days after you became aware of the problem. Include any reasonable evidence you have. We will look into genuine reports. Where we can reasonably confirm the referral was yours and that section 5 is met, we will release the reward. Screenshots, messages, order records and other later evidence do not automatically attribute a referral or create a right to a reward on their own, but we may use them when checking a report.
We are not obliged to credit a missed referral where we cannot reasonably confirm it was yours, or where section 5 is not met, or where the miss was caused only by a link being used incorrectly or by information you did not give us, except where section 18 says we cannot limit our responsibility.
You are responsible for checking your ambassador account. Nothing in this section excludes a liability that section 18 says cannot be excluded.
7. Reward Payments
Reward payments will be processed through the payment method connected to your ambassador account. Payment may be made by Smile White or by the payment provider connected to that account.
You are responsible for ensuring that your payment details are accurate and up to date.
We will pay a reward that has become payable no later than the last day of the following month in which it became payable, provided your payment details are complete and any checks we reasonably need to make are finished. If a check is still open because of a suspected breach, section 8 applies to the reward connected to that concern.
Smile White is not responsible for delays caused by incorrect payment details, payment provider issues, or information that has not been provided by the ambassador, except where section 18 says otherwise.
You are responsible for any taxes, duties or other financial obligations arising from rewards made to you. We do not give tax advice.
8. Self-Referrals and Fraudulent Activity
Ambassadors must not attempt to generate rewards through their own purchases or through purchases made by individuals where the primary purpose is to obtain rewards rather than genuinely purchase Smile White products or treatment.
This includes, but is not limited to:
- Referring yourself.
- Using your own referral code on an account belonging to you.
- Creating multiple customer accounts.
- Using false or misleading customer information.
- Encouraging friends, family members or other individuals to make purchases solely to generate rewards where the purchase would not otherwise have been made.
- Manipulating, interfering with or attempting to manipulate the referral tracking system.
- Engaging in any fraudulent, abusive or suspicious activity.
If we reasonably believe these Terms have been breached, we may look into it and suspend the reward connected to that concern while we do. Where it would not undermine the investigation, we will tell you what the concern is and give you a reasonable chance to respond before we make a final decision. If we find a breach, we may withhold, cancel or recover reward connected to that breach. We will not cancel reward that was properly earned and is not connected to the breach.
9. Promotion of Smile White
Ambassadors must represent Smile White accurately and responsibly.
When promoting Smile White, you must:
- Use accurate information supplied by Smile White.
- Follow any brand guidelines, promotional guidance or campaign instructions provided to you.
- Make advertising obvious, in the way section 10 describes, wherever you may earn rewards or a customer could use your link.
- Avoid making medical, dental or treatment claims that have not been approved by Smile White.
- Avoid making misleading claims about Smile White, its products, prices, treatment times, results or services.
- Not suggest that you are a dentist, dental professional or representative of Smile White unless you are appropriately qualified and authorised to make that representation.
You must not make promises or guarantees about the outcome of dental treatment.
You must not aim advertising at anyone under 18.
Do not send unsolicited marketing emails or texts, or bulk direct messages, that break UK marketing rules. Ordinary posts and genuine one-to-one conversations are fine, with the advertising label in section 10 where it is required.
10. Advertising and Content
Any content created by you in connection with Smile White must comply with applicable advertising and consumer protection laws, regulations and guidance, including relevant guidance from the Advertising Standards Authority (ASA) and Committee of Advertising Practice (CAP). Where it applies to what you say, you must also follow General Dental Council guidance on advertising.
If a post, story, video or other content is an ad, including because you may earn rewards or because people can use your code or link, you must make that clear up front:
- Put “Ad” or “Advert” at the start of the caption, or on screen at the start of a video or story. A viewer must be able to see it without clicking “more”.
- A label only in your bio, only at the end, only in a comment, or a tag such as #ambassador, #sp, #collab or #spon on its own, is not enough.
A review, testimonial, before-and-after or endorsement must be a genuine experience. If you received or may receive a benefit, including rewards, a discount, a gift or free treatment, say so next to that review. Do not ask or pay anyone else to post a review that hides a benefit. Do not present someone else’s experience as your own.
Use before-and-after photographs, and claims about treatment results or timings, only where Smile White has approved them. Do not edit images to exaggerate a result.
Smile White may ask you to amend or remove content that it reasonably considers to be misleading, inaccurate, non-compliant, damaging to the brand or inconsistent with its brand guidelines. You must do that promptly. If we tell you the content may break advertising or consumer law, you must amend or remove it within two working days.
You are responsible for what you publish. This includes music, images and other material in your content that belongs to someone else.
11. Brand and Intellectual Property
Smile White retains all rights in its trademarks, branding, logos, images, content and other intellectual property.
Your participation in the Programme does not give you ownership of any Smile White intellectual property.
You may use Smile White branding or approved promotional materials solely for the purpose of promoting the Programme and only in accordance with Smile White's instructions.
You keep ownership of content you create. You give Smile White a non-exclusive licence to repost that content on Smile White’s own website and social channels, at no extra fee, while the content is public, or until you ask us to stop using a particular post. We will credit you where it is reasonable to do so. You confirm that you created that content, or that you have permission to use everything in it. This does not give us ownership of your content, and it does not require you to create any.
You must not register or use any domain name, social media account, advertising account or other identifier that could reasonably be confused with Smile White or suggest that you are an official Smile White channel.
12. Paid Advertising
Ambassadors must not run paid advertising campaigns using Smile White's brand name, trademarks, branded search terms or other protected brand terms unless Smile White has given prior written permission.
This includes paid search advertising and other forms of paid media where Smile White's brand could be used in a way that may compete with or interfere with Smile White's own advertising activity. It includes paid social, display and shopping ads, as well as paid search.
Smile White may provide additional paid advertising rules to ambassadors from time to time.
13. Customer Relationships
Ambassadors must not provide dental, medical or treatment advice on behalf of Smile White.
Customers with questions about their suitability for treatment, treatment plans, appointments, clinical concerns or other dental matters should be directed to Smile White or the relevant dental professional.
Do not collect, request or store a referred customer’s personal information, including their contact details or anything about their dental health, unless we have authorised that in writing. Do not add a referred customer to your own mailing list, and do not use their details for your own marketing.
14. Credit and finance
Smile White introduces patient finance. You must not advertise credit, loans, monthly payments, 0% APR, “spread the cost”, or any other finance offer. Do not help a customer apply for credit, and do not recommend a finance option or comment on whether they are likely to be accepted.
15. Programme Changes
Smile White may change the Programme from time to time, including:
- Reward rates.
- Customer discounts.
- Eligibility requirements.
- Payment processes.
- Referral rules.
- Programme benefits.
- Promotional materials.
- These Terms and Conditions.
If a change materially affects rewards, the customer offer, who can take part, or these Terms, we will give you at least 14 days’ notice by email to the address on your ambassador account, or by a message in the ambassador platform. If a shorter period is necessary for a legal, regulatory or security reason, we will tell you as soon as we reasonably can.
A change applies going forward. It does not reduce rewards that have already become payable. It does not change the rewards rate for a referral you have already made, if that referral later meets the eligibility requirements that applied when you made it.
You may leave the Programme before the change takes effect, under section 17. If you stay after that date, you accept the updated Terms.
16. Suspension and Termination
Smile White may suspend or terminate your participation in the Programme at any time where it reasonably believes that:
- You have breached these Terms and Conditions.
- You have engaged in fraudulent, misleading or abusive activity.
- You have misused your referral code or link.
- Your promotional activity may damage Smile White's reputation.
- You have breached applicable advertising or consumer protection rules.
- You have provided false or misleading information.
- Your continued participation is otherwise unsuitable for the Programme.
Smile White may also terminate or pause the Programme as a whole at any time. If we end or pause the Programme as a whole and you are not in breach, we will give you reasonable notice where we can, and we will still pay rewards that have already become payable. If you are not in breach, a referral you had already made still qualifies if it later meets the eligibility requirements that applied when you made it.
Where we remove you for a breach, we may cancel unpaid rewards connected to that breach. Rewards that have already become payable, and are not connected to the breach, remain payable.
When your participation ends, you must stop describing yourself as a Smile White ambassador and stop using your code, link and Programme materials. We may switch the code and link off.
17. Withdrawal from the Programme
You may leave the Programme at any time by contacting Smile White or following the relevant withdrawal process available through the ambassador platform.
Once you leave the Programme, you must stop representing yourself as a Smile White ambassador and stop using your referral code, referral link and any Smile White promotional materials provided for the Programme.
If you leave and you are not in breach, a referral you made before you left still qualifies if it later meets the eligibility requirements that applied when you made it. Rewards that have already become payable remain payable. If we remove you for a breach, section 16 applies instead.
18. Limitation of Responsibility
Smile White will take reasonable steps to operate the Programme, but does not guarantee that the Programme, referral tracking system or ambassador platform will always be available, uninterrupted or error-free.
Smile White is not responsible for losses resulting from circumstances outside its reasonable control, including technical failures, platform outages, payment provider issues or third-party platform changes. We will take reasonable steps to correct an error we are responsible for.
Nothing in these Terms limits or excludes liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, for rewards that have become payable under these Terms, or for any other liability that the law does not allow us to limit or exclude. Nothing in these Terms affects rights which the law says cannot be taken away.
19. Data Protection
Smile White may collect and process personal information provided as part of your participation in the Programme.
Personal information you give us for the Programme (for example your account, payout and eligibility details) is handled by The YDS Group in line with the Privacy Policy (https://www.smilewhite.co.uk/policies/privacy-policy) and UK data protection law. That Privacy Policy is issued on behalf of YDS Group Ltd and Yorkshire Dental Suite (Holdings) Ltd and the other companies in The YDS Group. When we mention “we”, “us” or “our” for Programme data, we mean the relevant Group company responsible for that processing, as described in the Privacy Policy. Smile White brand companies in the Group may process Programme data as set out there.
You must not use personal information obtained through the Programme for purposes unrelated to the Programme without appropriate consent or another lawful basis. Do not keep it once you no longer need it for that referral. If we ask you to delete referral information, do so unless the law requires you to keep it.
Questions or complaints about Programme personal data: contact the DPO at DPO@smilewhite.co.uk, or use the contact details in the Privacy Policy (Unit 1 Landmark Court, Beeston, Leeds, LS11 8JT). You may also complain to the Information Commissioner’s Office (ICO) as set out in the Privacy Policy, see ico.org.uk. This does not change your rights under that policy.
20. No Employment or Agency Relationship
Participation in the Programme does not create an employment, partnership, joint venture or agency relationship between you and Smile White. You are not entitled to employee benefits such as sick pay, holiday pay or pension. You are responsible for your own tax and National Insurance on rewards.
You must not represent that you have authority to enter into agreements or make commitments on behalf of Smile White.
This section does not take away a status or right that employment, tax or equality law gives you and that you cannot sign away.
21. General
If any part of these Terms and Conditions is found to be invalid or unenforceable, the remaining provisions will continue to apply.
A failure by Smile White to enforce any provision of these Terms and Conditions does not mean that Smile White has waived its right to enforce that provision in the future.
These Terms, the Privacy Policy, and any rewards or offer we have agreed with you in writing, are the agreement for your participation. You must also follow Programme guidance we give you. If that guidance conflicts with these Terms on rewards payment or eligibility, these Terms apply, unless the guidance is a written variation, or the law requires something else. This does not exclude liability for fraud, or for a statement that the law does not allow us to exclude.
You cannot transfer your rights or place on the Programme. We may allow another company in our group, or a buyer of the Programme, to operate it, and we will tell you if that happens.
Someone who is not a party to these Terms has no right to enforce them under the Contracts (Rights of Third Parties) Act 1999.
If the ambassador platform has its own terms for using the account or for receiving a payment, those terms apply to that account and payment. If they conflict with these Terms on rewards, eligibility or payment timing, these Terms apply.
22. Governing Law
These Terms and Conditions are governed by the laws of England and Wales.
The courts of England and Wales will deal with disputes about the Programme. If you live in Scotland or Northern Ireland, you may also bring a claim in the courts of the country where you live. This section does not limit any right the law says cannot be limited.
